2.2 Checking out a file from within Word, PowerPoint, or Excel

When you have already opened a document from a library, you can use the following steps to check out that document within Word, PowerPoint, or Excel:

  1. Navigate to the Info tab on the Backstage view.

  2. Click Manage Versions, and then click Check Out, as shown here.

The content of the file is displayed. If you return to the Backstage view, you will see a new section, Checked Out Document, added above the Protect Document section on the Info tab, that allows you to check in the file or discard the check out to undo the previous checkout.

2.3 Checking out a file from within Visio

As with other Office files, you can save Visio files in SharePoint libraries, and also if you have purchased SharePoint Server Enterprise CALs, then you can use Visio Services to display Visio diagrams. 

When a user has used Visio to open a document that resides in a SharePoint library, the following steps can be used to check out that document:

  1. Navigate to the Info tab on the Backstage view.

  2. Click Check Out, as shown here.

    A dialog box briefly displays, stating that the file is being checked out and then the Check Out button on the Info tab is replaced with a Check In split button that allows you to check in the file or discard the check out to undo the previous checkout.
