Microsoft Outlook 2010 : Modifying and Updating a Task

You can modify a task at any time to change any property, including subject, due date, recurrence, and so on. Another change you might want to make to tasks is to mark them as complete. This action allows you to see at a glance the tasks that are complete and those that are not. You can also change the view of the Tasks folder to show only tasks that are complete, only tasks that are overdue, only those that are incomplete, and so on. In addition to marking tasks complete, you probably want to delete completed tasks and send status updates for tasks that are assigned to you.

Mark a Task As Complete

  1. Click the Tasks icon on the Navigation Pane to open the Tasks folder.

  2. Click the View tab.

  3. Click Change View.

  4. Choose Simple List.

  5. Click the check box in the Complete column to mark a task as complete.

  6. Note that Outlook displays completed tasks using strikethrough.

Tip

You can click the check box next to a task on the Tasks List (Day, Week, or Work Week views in the Calendar) to mark a task as complete.

You can mark tasks complete in any task view; these steps introduce you to the Simple List view as a means for viewing all tasks as a list, as well as marking tasks complete. If your current view doesn’t include a Complete column, you can right-click a task and choose Mark Complete.

Try This!

You can mark a task complete by setting its percent complete value to 100%. Open the task and use the arrow button beside the % Complete option to set the value to 100%. Outlook marks the task as complete.

Delete a Completed Task

  1. Select the task in any folder where the task is visible.

  2. Click the Delete button on the Standard toolbar to delete the task.

Tip

When you delete a task, Outlook places the task in the Deleted Items folder. If you delete the wrong task or decide you don’t want to delete it after all, you can restore it to the Tasks folder. Using the Folder List in the Navigation Pane, open the Deleted Items folder and drag the task to the Tasks icon. You can also right-click a task in the Deleted Items folder, choose Move, Other Folder, select the Tasks folder, and click OK to move it back.

You can delete any task, whether or not the task is marked as complete. Use the same method to delete an incomplete task that you use to delete a complete task.

Send a Status Report for an Assigned Task

  1. Click the Tasks icon on the Navigation Pane to open the Tasks folder.

  2. Double-click the task to open its form.

  3. Make changes to the task’s properties as needed.

  4. Click the Save button to save the changes.

  5. Click Send Status Report in the Manage Task group of the ribbon’s Task tab.

    You can send a copy of a status report to a person not on the update list without letting the people on the list know that you’ve copied that person. Just use the Bcc field to address the message to the other person. If Outlook isn’t currently showing the Bcc field, choose Show Bcc from the Show Fields group under the Options tab.


  6. Outlook adds the update address list (person who assigned the task to you); click To or Cc to add addresses for people not included in the update list.

  7. Click in the body of the message and add notes or comments as you like.

  8. Click Send to send the message.

Tip

Outlook fills in the status information in the body of the update message for you. You can edit this text if you need to. Just highlight the text you want to change, and type the replacement text.
